Get approved to supply Australian mining companies

Before a mining company buys from you, it checks that you can work safely, hold the right insurance and meet its prequalification rules. This is an independent guide to what that involves, with the official source for each rule.

Two printable templates you can use today. Each explains what the document is and when it is required, and has a table you can fill in on screen, print, or download as a CSV or text file. Prequalification platforms

Many mining companies use an online platform to collect and check supplier documents. Avetta and ISNetworld are the two names suppliers hear most. Others include Rapid Global and Pegasus. Fees are quoted by each platform and the buyer decides which one you must use, so ask before you pay.

Management system certifications

ISO 9001 (quality), ISO 45001 (occupational health and safety) and ISO 14001 (environment) are certified by independent bodies, not by ISO itself. Buyers may ask for one or more. A certificate from a JAS-ANZ accredited body is the one to look for.

Safety documentation

Expect to be asked for a safe work method statement (SWMS) for high risk work and a job safety analysis (JSA) or job hazard analysis (JHA) for routine tasks. Isolation and lockout procedures cover work on plant that could start or release energy.

Insurance

Buyers commonly ask for a certificate of currency for public liability insurance, with a minimum limit set by the buyer. We found no official source that sets a single required limit, so check each tender or contract.

Workers compensation is separate. Employers generally have to cover their workers under their state scheme, for example WorkCover WA in Western Australia. Check the Safe Work Australia workers’ compensation page and your state regulator for what applies to you.

Being prequalified is not the same as being allowed on site. People on site also need the site induction and any role-specific tickets. Start with the guides we already have:

Supplier readiness checklist

Use this before you accept a prequalification invitation or submit a tender. It is a general list; your buyer’s requirements come first.

Company basics

  • ABN, ACN and business structure confirmed and consistent across documents
  • Contact person for safety and for tendering named
  • Capability statement describing what you supply and where
  • List of subcontractors you use, if any

Prequalification

  • Know which platform each buyer uses (for example Avetta or ISNetworld) and which program applies to you
  • Fee quote obtained from the platform and who pays confirmed
  • Documents ready to upload in the format the platform asks for

Management systems

  • Safety management system or equivalent written procedures
  • ISO 9001, 45001 or 14001 certificates if you hold them, with scope and expiry dates
  • Incident and near-miss reporting procedure

Safety documentation

  • SWMS for high risk work and JSA or JHA for routine tasks, written for your actual jobs
  • Isolation and lockout procedure for work on energised or hazardous plant
  • Risk assessment method and a hazard register

Insurance

  • Certificate of currency for public liability, with the limit your buyer asks for
  • Workers compensation cover confirmed for your state
  • Any other cover the tender names, such as professional indemnity

People and inductions

  • Training and licence records for each person who will be on site
  • Site induction requirements checked (for example Queensland Standard 11, WA mine site white card)
  • Medical and fitness requirements checked with the site
